I can’t log in

Agents: sign in at Agent sign in with your MLS number (or email) and password. We then send a one-time 6-digit code by text (or email backup). After repeated wrong attempts the account locks for a few minutes and sign-in pauses for 15 minutes; wait, then try again. Buyers and sellers: you don’t have a password. Open “Open your closing timeline”, enter the email your agent invited, and use the one-time link we email you (valid 15 minutes). A new device also asks for a 6-digit code once. Still stuck? Use the contact form below. We will never ask for your password.

How do I reset or change my password?

Agents: on the sign-in page choose “Forgot your password?”, enter your account email and open the link we email you. It works once and expires in 30 minutes; for privacy we show the same message whether or not an account exists. Choosing a new password signs you out on every device, and two-step verification still applies when you sign in again. If you can sign in, you can also use Change password under Account. Never send your password or codes by email or chat. Buyers and sellers don’t use passwords; request a new one-time sign-in link instead.

Two-step verification: my code doesn’t work or I lost my phone

After your password, agents enter a 6-digit sign-in code we text (or email). It expires in 10 minutes; request a new one if it expired. If you also turned on an authenticator app, enter the current 6-digit app code next; check that your phone’s clock is set automatically. Lost your phone for the authenticator step? On that screen choose “Lost your phone? Use a recovery code” and enter one of the recovery codes you saved. If you have neither the text/email code nor recovery codes, use the contact form: we confirm your identity before resetting sign-in. Never share codes with anyone, including us.

My invite or sign-in link expired

One-time sign-in links expire after 15 minutes and work once. Clients: open “Open your closing timeline”, enter your invited email and request a new link. If your access itself has expired, ask your agent to resend the invite. Team members invited by an agent: ask the agent to send a new invitation. If your agent canceled their subscription, client access has ended (see “What happens when my agent cancels?”).

I used the wrong email, or I’m not getting the sign-in email

Clients must use the exact email address their agent invited. Check spam or promotions folders and search for “The Closing Atelier”. If your agent typed a different address, ask them to correct it on the file and resend your invite. Agents who need to change the email on their own account: use the contact form from your current account email.

How do I see my transaction?

Sign in with your invited email (no password; use the one-time link). Your home screen shows the property, the progress bar and stages, the next step and what you need to do, key dates and contingencies, and the latest updates your agent published. Use the tabs for Documents (files your agent or invited professionals shared, and your own uploads), Messages, Appointments and More (alerts, quotes and other tools your agent turned on). You see only your own deal, never your agent’s private notes.

I can’t see my transaction, or something looks wrong or missing

1) Make sure you signed in with the exact email your agent invited, and that you opened the invite link (or requested a new one). 2) If your agent canceled their subscription, your access becomes read-only for ninety (90) days (you can still view your file and documents), and you get an email with a one-time link to download the documents you uploaded. 3) If a date, step or document is wrong or missing, contact your agent first: they control the file and are the only ones who can change it. If none of this helps, use the contact form below.

I can’t download or open a file

Try these in order: 1) Update your browser or try another one (Chrome, Safari, Edge or Firefox). 2) Allow pop-ups and downloads for this site, and pause ad or content blockers. 3) Check that your device has free storage. 4) On a phone, open the file, then use Share → Save to Files (iPhone) or the download icon (Android). Limits: you can upload PDF, JPG, PNG, HEIC or DOCX files up to 20 MB per document (inspection reports up to 15 MB, quote photos up to 5 MB). You can only see files shared with your deal; ask your agent or whoever invited you. After an agent cancels, you have read-only access and your one-time download link works for ninety (90) days; after that the file is permanently deleted and cannot be recovered by us. Your agent may have kept an export. Still failing? Use the contact form.

What happens when my agent cancels?

Client access depends on the agent’s subscription; there is no separate client account. When an agent cancels, the subscription lapses, or the agent closes the account, a ninety (90) day hold starts: clients keep read-only access, the agent can export everything for their brokerage records (agents must keep transaction records for 5 years under 68 Ill. Adm. Code 1450.755; we do not keep them on the agent’s behalf), and each client is emailed a one-time link to download the documents they uploaded. The agent gets export reminders on days 1, 60 and 83; clients get a reminder 7 days before deletion. After ninety (90) days everything is permanently deleted and cannot be recovered. You can always be invited again by any agent who uses The Closing Atelier.

How do I add a client to a transaction?

Agents: open the deal and tap Invite people. Enter your client’s name and email and tap Add & send invite. They get a one-tap sign-in link (no password); a new phone also confirms a 6-digit code once. Clients always use the app free.

How do documents get signed?

The Closing Atelier does not provide e-signatures. Agents use their own e-signature provider (for example DocuSign, Dropbox Sign, Authentisign or Dotloop). In the client file, choose “Send for signature” to download a PDF with a cover sheet and a signer list, upload it to your provider and send it from your own account. When it is signed, use “Upload signed copy” (PDF only, up to 25 MB): it is saved next to the original and marked “Signed (uploaded by agent)”. We never ask for your e-signature login. Agents are responsible for complying with the Illinois Electronic Commerce Security Act (5 ILCS 175) and the federal E-SIGN Act (15 U.S.C. 7001). Buyers and sellers: your agent's provider will email you a signing link.

How do I update the property address on a transaction?

Only the agent can edit a transaction: open the deal and choose Edit file, correct the address and save. Clients can’t edit the file; message your agent and ask them to fix it. By Owner sellers will edit their own listing details on the By Owner plan.

How does an inspector, surveyor or other professional upload a report?

Only through the one-time invite link the agent sends them; there is no public upload. The client must first tap Allow on the consent request in their app, and can revoke access at any time. The professional opens the link, chooses a PDF, JPG or PNG file, adds a title and uploads it; it appears in the client’s Documents tab. Professionals never see other deals.

Privacy: how do I get or delete my data?

Agents can export each file (Export / delete data on the file, or Billing → Download your records) and close their account from Account settings; closing deletes your data. Clients: your deal belongs to your agent’s file, so ask your agent to delete it, or send a privacy request with the contact form from the email you were invited with. See the Privacy Policy for what we keep and why. Brokers must keep transaction records under Illinois law, so download what you need first.

My card was declined, or I need to change my card

Paid billing is not switched on yet, so no card is charged today. Once it is, open Billing and choose Manage payment to update your card in our payment processor’s secure page (Stripe). We never see or store your full card number, and we will never ask for it by email, chat or phone. If a payment fails, check the card’s expiry and billing ZIP, or call your bank.

Where is my receipt or invoice?

After a purchase we email a receipt that repeats the terms and how to cancel. Once paid billing is on, past invoices are in Billing → Manage payment. Need a corrected invoice (for example a business name)? Use the contact form.

Is my first client file free?

Yes, for real estate agent accounts only (one per Illinois license; Pro and By Owner accounts don’t get a free file): your first client file is completely free for its whole life, from intake through closing and after-closing. No card is collected, nothing is charged for it, and it never converts to a paid plan automatically. Every client file you create counts toward the one free file, including files you archive or delete. To add more clients, choose the Agent plan ($29.99 per month, plus applicable tax), which starts only after you check the consent box at checkout and renews monthly until you cancel.

Do you charge tax, including Chicago tax?

Prices are plus applicable tax. Where a tax applies (for example Chicago’s Personal Property Lease Transaction Tax on cloud software), it is calculated at checkout from your billing address and shown on your receipt before you pay. We can’t give tax advice; ask your tax professional about your own situation.

How do I cancel my subscription?

Cancellation is fully online: sign in, open Billing and choose Cancel subscription, tick the box confirming you understand what happens, and confirm. You can also email us from your account email. Billing stops at the end of the current paid period. If you are an agent, your clients get read-only access and a ninety (90) day hold starts: you can export everything (Profile → Your data → Request full export), and we email you export reminders on days 1, 60 and 83 before everything is permanently deleted. Download your records first: you must keep your own transaction records for 5 years (68 Ill. Adm. Code 1450.755); we do not keep them on your behalf. If you resubscribe within the ninety (90) days, full access is restored.

What does each plan cost and include?

Agent, $29.99 per month (for agents, the first client file is free, no card): your deals with the client timeline, client invites (clients are always free), voice and email updates you review before publishing, documents, appointments, inspection summaries and contractor quote requests, weekly client summaries and the Repairs tab. By Owner, $9.99 per file: a one-time charge for each file, not a subscription, for people selling their own home; always paid (the free client file is for agents only). Pro, $19.99 per month: a Pro Directory listing that is clearly labeled as a paid advertisement, not a referral or endorsement; it goes live only after we approve your certificate of insurance. Agent and Pro are monthly; By Owner is paid once per file; all prices are plus applicable tax, and can be canceled online.

Are Pro Directory listings recommendations?

No. Every Pro Directory listing is paid advertising, labeled “Advertisement”. Listings are not referrals, endorsements or guarantees, and The Closing Atelier is not a broker, guarantor or agent for any professional. Professionals are responsible for their own licensing, insurance and work. Please verify credentials, licenses and insurance yourself before hiring.

What insurance does a professional need to list?

No listing goes live until we review and approve a certificate of insurance showing the carrier, policy number, coverage type, limits and expiration date. The minimum is $1,000,000 per occurrence in general liability for every category, except handymen at $500,000 per occurrence. Handymen can’t advertise work that needs a trade license (such as plumbing, electrical or roofing). Listings hide automatically when the policy expires, with reminders 30 and 7 days before.

How do I reach a person?

Use the contact form on this page. It creates a support request for our support team, and we reply by email. For anything about your specific deal, contact your agent first. Never send passwords, codes, card numbers or bank or wire details.
